Key Control Headaches and Anecdotes!
Slot Directors Consider this:
80 employees (check out high security keys), process takes approximately 10 minutes per day, average hourly wage is $12.50 per hour, SO…
80 employees x .17 hours x $12.50 p/hr x 7 days x 52 weeks = $61,880.00 annual cost of key management.
(This DOES NOT include the time that your Supervisors spend off the floor, checking keys out to employees, nor the time spent maintaining the key logs, compiling audit reports, etc.)
NOW, The Alternative:
KeyWatcher users confirm that the time their Slot employees spend waiting for keys is decreased dramatically (average 15 minute wait is decreased to 45 seconds). Let’s round that 45 seconds up to one full minute. Using the conservative 10 minutes above, the savings looks like this:
| 80 employees x .017 hours x $12.50/hr x 7 days x 52 weeks | = | $ 6,188.00 |
| Cost of the 200 location Keywatcher II with Casino Package | = | $22,000.00 |
| Your 1st year cost with the purchase of the KeyWatcher | = | $28,188.00 |
| Making your first year savings: | $ 33,692.00 |
Genesis Resource, Inc. and Morse Watchman have taken a strong stand on the issues faced by casino management personnel. These issues, specifically key management, can either make or break a management team and its ability to effectively control high security keys.
In most casino environments, we find that the age old "key box" and manual sign out sheets are still being used. At best, this system keeps the information that is written down and the keys are in a box that probably has a lock on it. At worst, keys maintained in this manner are handed out to authorized persons with no guarantees that the keys will be returned and human errors assure that some documentation will be in error. Additionally, with the turnover of employees in the gaming industry, no one can know, upon sight, every person authorized for every given key. Verification is a timely process, which sadly, is often overlooked. Add to this the manpower hours consumed each month for those persons issuing keys and those waiting for keys, and you will find that to eliminate those costly hours would be a great savings.
In an effort to assist Casinos around the world, Morse Watchman, who has been manufacturing security equipment for more than one hundred and twenty five years, offers the KeyWatcher. Only Morse and the KeyWatcher II offers a "casino package" with triple user and departmental access required by most gaming authorities. The following information will explain exactly how the KeyWatcher is the only key management system available today that specifically meets the needs of Gaming professionals.
TIME IS OF THE ESSENCE:Time wasted by employees waiting to check out keys is a problem with any manual system. (In the Oneida Casino article enclosed, they estimated that employees spent an average of 15 minutes waiting for keys.) This time crunch is caused when one employee has to wait for another to get the key, the key log and verify that the requesting employee is authorized to take the key.
With the Morse Watchman KeyWatcher the user logs in with a user ID, then a Personal Identification Number (which they can change at any time), requests the key number that they need. If all entries are valid and the user is authorized to take the requested key(s), the KeyWatcher door will open and ONLY that key (or keys) can be removed. Oneida calculates time spent waiting for keys has been reduced to 45 seconds.
MANPOWER:Currently, you probably have a trustworthy, long time employee (often quite well paid) who is responsible for keeping the key usage logs and handing out the keys. The time that this person spends doing so could be delegated to other important duties.
The KeyWatcher eliminates this security function from the day to day tasks of your best people. All activity is automated.
AUDIT REPORTS:If the Gaming Board walked in today and performed a surprise audit, what would it take to find and provide all the reports they may ask for? Could you give them the audit trail they require on any given key? Most likely not, most Casinos keep their logs in chronological order and the amount of time it would take to transfer this information into a data base that would allow you to access all activity of one certain key is just not feasible.
The KeyWatcher stores all information, making it easily retrievable at anytime. Audit reports can be automatically generated and stored. Reports can be continuously printed in real time, or can be generated upon demand. With a few keystrokes and clicks of the mouse you can accommodate any audit request such as by key, by employee, by date. Gaming Officials, Insurance Claims Adjusters and even problem employees can be provided proper documentation when needed. The KeyWatcher has the capacity to store up to 4,000 transactions before downloading is required, though it can be done more often.
GAMING REQUIREMENTS:We understand that the state Gaming Boards require certain assurances that high security keys are not handed to "just anybody." For example, drop keys require three different persons, from three different Departments. Without the use of additional verification these keys become vulnerable to misuse. Further, consider the scenario of two or three persons alleging to be authorized management personnel. They request the drop key, show what appears to be valid identification and soon have access to astronomical amounts of cash. What if only two validly authorized persons request one of these keys from a new cash cage employee. Will the new employee deny that access?
The KeyWatcher leaves no room for human intimidation or unauthorized users gaining access. By utilizing the KW Triple User Access and Departmental Access features, three authorized persons from three defined Departments must request the drop key before the KeyWatcher will release the drop key. If unauthorized personnel attempts to remove these keys, the KeyWatcher will record their attempts and disciplinary action may be taken based on the documented infraction.
SECURITY CONCERNS:Historically, "key boxes" are simply a thin steel or aluminum box with hinges and a lock. Pegs or hooks inside are their attempt at keeping your keys organized. It is easy to imagine the confusion caused when either the wrong key is handed out or a key is returned to the wrong peg. These boxes are meant to hold keys, not necessarily to keep them secure.
The KeyWatcher is housed in an 18 gauge steel cabinet, virtually unpenetrable. By using Medeco locks, duplication of the cabinets master key is not possible.
TIME OUT:That is all you can think of when a key is lost! The time and cost of re-keying is exorbitant. Nothing good can be said in a situation like this but, could it have been prevented?
KeyWatcher allows you to specify exactly how long a person can take out a key. In essence, "time out" can be a good thing. For example, if high security keys are normally used for 10 minutes, specify not more than 15 minutes. If, at 15 minutes I have not returned the key an alarm will sound. If I have lost that key in the last few minutes, we are both on top of it immediately. Since the probability of finding a "lost" key decreases as time passes, it is imperative that we be alerted as soon as possible, thus increasing the probability of finding it. Additionally, if the employee knows that they are "on a time limit" they are more likely to get the job done without getting distracted rather than risk alarming the KW and their supervisor.
DUPLICATE SETS OF KEYS:As a rule, slot Departments have a large number of duplicate sets of slot keys that can be used by any of your "key" people. Checking these in and out, as well as keeping track of who has which set is a problem most Casinos’ face. If an error occurs in issuing or recording, hours can be wasted trying to track them down and/or correct the key logs.
Utilizing the KW "Next Available Key" feature eliminates the "human error" factor. You simply authorize these key people the use of any of the duplicate sets and, after verification, the KW will direct them to an available set of keys. As the Smart Key has a Dallas Smart Chip in it, all recording of usage is automatically done for you. You may also want to specify that these people can only have one set of keys at a time, which is also a simple input feature of the KW.
VULNERABILITY:Currently, if an employee has access to your key box, your high sensitivity keys are vulnerable.
The KeyWatcher addresses this in two ways. First, the exclusive Smart Keys, which are locked into place, do not need to be labeled in any way. The Dallas Smart Chip inside is a computer chip that identifies the key to the KeyWatcher and to your computer. Random Key Return (also exclusive to Morse Watchman) allows you to return the key to any open location. Thus, even if they did have access to the cabinet, an unauthorized person would be at a loss to identify which key is "the" key. Further, if they did identify the location, they could only remove it by cutting the Smart Key, which would no doubt attract attention.
FUTURE EXPANSION:Casinos are always in the "growth stage". To accommodate additional keys, it is common to see key boxes with four or five sets of keys on each hook. Manufacturers of these types of key boxes and automated key management systems will sell you more systems, but they are just that: additional systems. And make no mistake, you are paying full price for each and every system you add.
The Morse Watchman Key Watcher II is the only key management system on the market that allows you to expand up to 1,000 locations all controlled by the same CPU and keypad. You can expand 10 locations at a time or in large quantities. However, unlike any other key system, you are simply buying more locations and cabinets. The cost of expanding to KW is minimal compared to buying another system with all the required components of other manufacturers products, in which each cabinet has its’ own CPU and keypad. Expensive!
HARDWARE:The world is running on PC’s. In fact, you may already be using one to input your key activity and authorizations.
No additional hardware is needed. As long as there is a PC within 250 feet of the KW, your existing system can be used. Networking and remote programming are also available.
NETWORKING:If you received a call at 3:30 am from your Assistant Slot Director telling you that one of your employees has attempted theft or worse, the immediate action is termination. But what about alerting the rest of your staff that the employee is no longer employed and therefore has no authorization to take the keys that he (she) has been checking out all along? I suppose you could get dressed, go in and brief all parties or you could leave this to your Assistant Director, but how long will that take?
The KeyWatcher can be accessed via modem, so you could wear your pajamas to your home computer and cancel all authorization for the employee in question to take effect immediately. (Networking within your Casino is also available.)
START-UP PROCEDURES:Implementation of new equipment and procedures is never an easy or enjoyable task.
KeyWatcher implementation is quick and easy. A list of all keys and authorized personnel will be needed. These are input prior to using the KW the first time. Minimal training is needed because of the simplicity of the procedures your employees will now use. Genesis Resource, Inc. staff members are factory trained professionals ready to assist you in your start-up and training. Initial data input can be time consuming and tedious, but Genesis is available to do this and your employee training for you if you so choose.
SERVICE:Too often, service seems to be a low priority for many vendors of key management systems. We have all had met that company or salesperson that has left the impression that once the PO is signed, there is nothing left to do but wait for the check, never to be heard from again.
